Full Hold & Makeup Policy

At OPEX Shady Grove, we aim to provide flexibility while maintaining the structure necessary for effective coaching, scheduling, and business operations. This policy outlines the terms for placing a membership on hold and making up missed training sessions.
Hold Policy – All Membership Types
This policy applies equally to both ongoing recurring and prepaid (paid-in-full) memberships.
Clients may request a temporary hold for absences of 7 or more consecutive days due to travel, illness, injury, or personal obligations.
Hold requests must be submitted in writing at least 7 days in advance, and must include a specific return date.
Each client may use up to 2 weeks of approved hold time per 6-month membership term. This time will be added to the end of the current membership, whether prepaid or ongoing.
Any additional hold time beyond this limit may be banked as a credit toward a future membership renewal, applicable to ongoing members only.
Banked credit:
Has no cash value
Is non-transferable
Expires 6 months after the current membership term ends
Example: A 12-month member is eligible for up to 4 weeks of hold time. If they are away for 3 weeks, all 3 weeks will be added to the end of their current term.
Hold requests should be submitted via email or CoachRX messenger. All requests are subject to approval by management.
Makeup Policy – All Memberships
This policy is intended to accommodate short-term absences of fewer than 7 consecutive days, such as travel, minor illness, or scheduling conflicts.
Clients may make up missed sessions within a rolling 4-week window from the date of the absence.
Makeups must be scheduled in advance and are subject to coach and session availability.
Clients may attend no more than 4 training sessions per week, including makeups, to ensure safe training volume and program integrity.
Unused sessions do not carry over beyond the 4-week window and are not refundable.
Exceptional Circumstances
While this policy outlines the standard terms for all memberships, we understand that life happens. Requests outside of the stated policy (e.g., serious injury, family emergency) will be reviewed on a case-by-case basis. Management reserves the right to make exceptions at its sole discretion. Approval of past exceptions does not guarantee future exceptions.
Additional Terms
Abuse of the hold or makeup system may result in changes to membership status or the loss of future privileges.
OPEX Shady Grove reserves the right to deny hold or makeup requests that fall outside of this policy.
